Room-by-Room Inspection Template

Use this as your checklist during the walk-through. For each item, note the condition and take a photograph.

General Property Details

  • Full property address and postcode
  • Date and time of inspection
  • Names of all parties present
  • Meter readings (gas, electric, water)
  • Keys and fobs returned — count and condition
  • Alarm codes and access details

Entrance Hall & Corridors

  • Front door condition (locks, hinges, paintwork)
  • Flooring condition — carpet, tiles, or laminate
  • Walls and ceiling — marks, scuffs, cracks, damp
  • Light fittings and switches — working condition
  • Smoke detector — present and tested
  • Letterbox and door furniture

Living Room

  • Walls, ceiling, and paintwork condition
  • Flooring — stains, wear, damage
  • Windows — glass, frames, locks, blinds/curtains
  • Fireplace (if applicable) — condition and cleanliness
  • Electrical sockets and switches — working
  • Furniture (if furnished) — itemised condition

Kitchen

  • Oven, hob, and extractor — clean and working
  • Fridge/freezer — defrosted, clean, working
  • Washing machine/dishwasher — clean, working, hoses

  • Sink and taps — leaks, limescale, drainage
  • Cupboards and drawers — hinges, handles, cleanliness

5 Tips for a Bulletproof Report

Photograph Everything

The DPS says over 50% of deposit disputes come down to evidence. Take date-stamped photos of every room, every issue, and every meter reading. Wide shots for context, close-ups for damage.

Compare Against Check-In

Always compare the end of tenancy condition against the original inventory. Fair wear and tear is expected — you can only deduct for damage beyond what's reasonable for the tenancy length.

Note Fair Wear & Tear

Carpets fade, paint scuffs, and hinges loosen over time. The longer the tenancy, the more wear is 'fair'. The DPS and TDS have clear guidance on what counts. Don't try to claim for natural ageing.

Include Timestamps

Every photo and note should be clearly dated. If a dispute reaches the DPS or TDS, timestamped evidence is dramatically more persuasive than undated photos.
