1. Who We Are

SnagMail is operated by MAKAN App Ltd, a company registered in England and Wales. We are the data controller for the personal data we process through the SnagMail app and website.

2. What Data We Collect

We collect only the data necessary to provide our service:

  • Account information: email address and display name when you create an account.
  • Inspection data: property addresses, room names, photos, annotations, and notes you add to reports. This data is stored on your device and in our cloud infrastructure when you choose to sync or generate PDFs.
  • Subscription data: subscription status and transaction identifiers from Apple. We do not receive or store your payment card details — Apple handles all billing.
  • Usage analytics: anonymised page views and interaction data via Vercel Analytics to help us improve the app. No personally identifiable information is included.
  • Email address (newsletter): if you opt in to our mailing list, we store your email address with our email provider (Buttondown) to send product updates.

3. Legal Basis for Processing

Under UK GDPR, we process your data on the following bases:

  • Contract: processing your account and inspection data is necessary to provide the SnagMail service.
  • Legitimate interest: anonymised analytics help us improve app performance and user experience.
  • Consent: marketing emails are only sent when you explicitly opt in. You can withdraw consent at any time.

4. How We Use Your Data

  • To create, store, and deliver your inspection reports.
  • To manage your subscription and account.
  • To send product updates if you have opted in.
  • To improve app reliability and performance.
  • To respond to support requests.

We do not sell your personal data. We do not use your data for automated decision-making or profiling.

5. Data Sharing

We share data only with the following categories of processors, all of whom are bound by data processing agreements:

  • Apple: subscription and in-app purchase processing.
  • Vercel: website hosting and anonymised analytics.
  • Buttondown: email newsletter delivery (opt-in only).
  • Firebase / Google Cloud: cloud storage and authentication.

We do not share your inspection data with any third parties. Your reports are yours.

6. Data Retention

We retain your account and inspection data for as long as your account is active. If you delete your account, we will delete your personal data within 30 days, except where we are required to retain it by law.

Anonymised analytics data may be retained indefinitely as it cannot be linked back to you.

7. Your Rights

Under UK GDPR, you have the right to:

  • Access the personal data we hold about you.
  • Rectify inaccurate or incomplete data.
  • Erase your personal data (“right to be forgotten”).
  • Restrict or object to processing in certain circumstances.
  • Data portability: receive your data in a structured, machine-readable format.
  • Withdraw consent for marketing at any time.

8. Data Security

We use industry-standard security measures including encryption in transit (TLS) and at rest to protect your data. Access to personal data is restricted to authorised personnel only.

9. Children's Privacy

SnagMail is not intended for use by anyone under 16 years of age. We do not knowingly collect data from children.

10. Cookies

Our website uses only essential cookies required for the site to function. We use Vercel Analytics which collects anonymised, cookie-free usage data. We do not use advertising or tracking cookies.

11. Changes to This Policy

We may update this policy from time to time. Material changes will be communicated via email or an in-app notification. The “last updated” date at the top of this page will always reflect the most recent version.

12. Complaints

If you are not satisfied with how we handle your data, you have the right to lodge a complaint with the Information Commissioner's Office (ICO).
